Opercept Inc. ("Opercept") provides a business-to-business documentation system for Commercial Package policy review.
Opercept processes personal information only as necessary to provide its review support and record-keeping services at the direction of its customers.
Opercept does not provide consumer services and does not use personal information for advertising, marketing, profiling, or automated decision-making.
2. Information We Collect
a. Account Information
Opercept collects limited account information, including:
- Name
- Email address
- Organization name
This information is used solely for authentication, access control, and account administration.
b. Uploaded Documents
Insurance documents uploaded by customers may contain personal information.
Opercept processes such information only to support user-directed policy review and record-keeping, including to:
- Present policy content within the review interface
- Allow users to record review actions and notes
- Preserve a time-stamped record of review activity
Opercept does not independently evaluate, profile, or make decisions about individuals whose information may appear in uploaded documents.
c. Operational Data
Opercept collects limited technical information necessary to maintain system integrity, such as:
- Authentication events
- System performance data
- Error records
This information is used solely for security, reliability, and service operation.
3. What Opercept Does Not Do
Opercept does not:
- Sell personal information
- Use personal information for advertising or marketing
- Process personal information for purposes unrelated to policy review and documentation
4. Service Operation and Improvement
Opercept may use anonymized and aggregated operational data to improve system performance and reliability. Such data does not include identifiable personal information.
5. Notice of Collection
Opercept processes personal information contained in uploaded documents solely for the purpose of providing review and record-keeping functionality at the direction of the customer organization.
6. Customer Responsibilities
Organizations that upload documents to Opercept are responsible for ensuring that any disclosure of personal information to Opercept complies with applicable privacy laws and contractual obligations.
Opercept acts as a service provider and does not independently determine the appropriateness of document disclosure.
7. Data Residency and Third-Party Service Providers
Opercept uses third-party infrastructure providers to operate its service.
Customer data is stored in Canada. Certain service functions may involve secure processing through service providers located outside Canada.
Where personal information is transferred across borders, it remains subject to contractual safeguards and may be accessible to foreign authorities in accordance with applicable law.
8. Safeguards
Opercept maintains administrative and technical safeguards appropriate to the sensitivity of the information it processes, including:
- Encryption of data in transit and at rest
- Access controls limiting users to their own organizational data
- Secure infrastructure practices
Opercept requires its key service providers to maintain appropriate security standards.
9. Incident Response
In the event of a confirmed breach of security safeguards involving personal information that poses a real risk of significant harm, Opercept will notify the affected customer and report to the Office of the Privacy Commissioner of Canada as required under applicable law.
10. Retention
Personal information is retained only as long as necessary to support customer review workflows or as required by law.
Retention periods may vary depending on the applicable service agreement. Customers may delete documents through the platform interface.
11. Access and Correction
Requests for access to or correction of personal information should be directed to the organization responsible for the uploaded documents.
Where appropriate, Opercept will assist customers in responding to such requests within the limits of its role as a service provider.
12. Changes to This Policy
This Privacy Policy may be updated periodically. The revised version will be indicated by an updated "Last updated" date.
